2014 - 2015 Student Edition

The University's main academic calendar, which lists the dates for the start and end of classes as well as break periods, can be found here.

Students should check with their individual department for internal deadlines that may precede the following schedule of deadlines for the Arts, Sciences and Engineering Graduate Studies Office.

Registering a PhD Dissertation
When registering a PhD dissertation during the academic year, 15 full working days are needed between the day a dissertation is registered in the Arts, Sciences and Engineering Graduate Studies Office (Lattimore 218) and the day of the defense. The day the dissertation is registered is not counted, nor is the day of the defense. If you have any questions, call the Arts, Sciences and Engineering Graduate Studies Office at (585) 275-4153. PhD dissertations should be prepared according to the document Preparing Your Thesis: A Manual for Graduate Students. Registering a Master's Thesis
When registering a Master's thesis, 10 full working days are needed between the day a thesis is registered in the Arts, Sciences and Engineering Graduate Studies Office (Lattimore 218) and the day of the defense. The day the thesis is registered is not counted, nor is the day of the defense. If you have any questions, call the Arts, Sciences and Engineering Graduate Studies Office at (585) 275-4153. Master's Theses should be prepared according to the document Preparing Your Thesis: A Manual for Graduate Students.

Thur. Aug 14 Last day to register a dissertation with the Arts, Sciences and Engineering Graduate Studies Office, 218 Lattimore Hall, for an October 2014 degree. (Note: if this deadline is not met, then the defense may not be held until the fall.)
Fri. Aug. 22 Terminal MA/MS degree completion deadline for October 2014.
Mon. Aug. 25-Tues. Aug. 26

ESL Testing for all international students who will TA in fall 2014 or spring 2015.

Thurs. Aug. 28 Orientation for new graduate students: Hubbell Auditorium, 2:00 – 4:00 pm.
Fri. Aug. 29 TA Training Session for all new graduate students who will TA during their graduate program: 9:00 am, Interfaith Chapel, River Level.
Mon. Sept. 1 Labor Day. University is closed. This day cannot be counted as a working day in meeting deadlines.
Tues. Sept. 2 Fall semester begins.
Fri. Sept. 12 Last day to hold PhD defense for October 2014 degree.
Mon. Sept. 15 Last day for fall registration ($160 late fee after this date)
Fri. Sept. 19

Last day to submit final corrected abstract and pdf of dissertation to the ProQuest website to fulfill degree requirements for an October 2014 PhD. (Fall registration is required to meet this deadline.)


Last day for Plan A and B final examinations (oral, written, or essay) for non-terminal October degree conferral. (Aug. 22 deadline for students not registering for fall.)

 

GradMast of possible master’s candidates for March 2015 degrees produced.

 

Wed. Oct. 1

Non-terminal Plan A students must submit 2 final corrected copies in the Graduate Studies Office for October degree conferral.

 

All documents (exam reports, grade changes, etc.) must be submitted to the Graduate Studies Office by this date (Program of Study deadline was July 21, 2014) to remain on October degree conferral.

 

Departments receive GradMast and check form/instructions for possible master’s candidates for March 2015 degree. (Students who did not complete the registration process in fall 2014 will not appear on this list.)

Tues. Oct. 14

Drop/Add/Audit deadline for fall 2014.  Withdrawal permitted only if time status is not affected.

 

Last day to petition GSO for waiver for audit fees.

 

Last day to submit master’s Program of Study for March 2015 degree candidates

Fri. Oct. 17 October 2014 PhD and MA/MS degree conferral date – Board of Trustees meeting.
Mon. Nov. 3 Spring 2015 on-line registration opens.
Nov. 27 - Nov. 28 Thanksgiving Holiday. University is closed. These two days cannot be counted as working days in meeting deadlines.
Thurs, Dec. 4 Last day to submit Ph.D. dissertation and paperwork to the Arts, Sciences and Engineering Graduate Studies Office, 218 Lattimore Hall, for the fall. (Note: if this deadline is not met, then the defense may not be held until the spring.
Dec. 22 - Jan. 2

Due to recess and holidays, no dissertations may be registered and no PhD defenses. Fri. Jan. 2 may be held during this time period. Dissertations to be defended in the week of Jan. 5-9, 2015 must be registered in the Arts, Sciences and Engineering Graduate Studies Office, 218 Lattimore Hall, by Dec. 4, 2014.

Spring 2015

Tues. Jan. 13

Last day for students who have completed defenses to submit final corrected abstract and pdf of dissertation to ProQuest without registering for Spring semester.

 

Last day to submit (in Dean’s Kearney’s office) the final corrected abstract and pdf of your dissertation to the ProQuest web site and send required confirmation email to the University Dean of Graduate Studies Office to fulfill degree requirements for the March 2015 PhD. NOTE: If this deadline is not met, students must register and pay the appropriate fee for the spring semester at X-time status.

 

MA/MS students receiving terminal degrees in March must be degree complete by this date. Plan A students must submit 2 final corrected thesis copies in the Graduate Studies Office, 218 Lattimore Hall.

Wed. Jan. 14 First day of classes spring semester.
Wed. Jan. 28

Deadline for spring Registration. ($160 late fee after this date.)

Last day to submit Master's Programs of Study for May 2015 degree candidates.

Last day to register a dissertation in the Arts, Sciences and Engineering Graduate Studies Office, 281 Lattimore Hall, for a March 2015 degree.

Wed. Feb. 4

Departments receive GradMast and check form/instructions for possible master’s candidates for May 2015 degree (students who did not complete registration for spring 2015 will not appear on this list).

 

Last day for non-terminal Plan A or B final examination (oral, written, essay) for March 2015 degree (Jan. 13 deadline for students completing all degree requirements in the fall semester for a terminal degree).

Mon. Feb. 9 Non-terminal Plan A students must submit 2 final corrected thesis copies in Dean’s Office to remain on the March 2015 conferral list.

All documents (exam reports, grade changes, etc.) must be submitted by this date (Program of Study deadline was October 14, 2014) to remain on March conferral list.
Wed. Feb. 25

Last day to hold PhD defense during the spring semester for a March degree.

 

Drop/Add/Audit deadline for spring 2015.  Withdrawal permitted only if time status is not affected.

Thurs. Mar. 19 Last day to register a dissertation in the Arts, Sciences and Engineering Graduate Studies Office, 218 Lattimore Hall, for a May 2015 degree.

Fri. April 10

Last day to hold PhD defense for May degree. Defenses after this date through Summer 2015 will be for an October 2015 degree.

 

Last day for Plan A or B final examinations (oral, written, essay) for May 2015 degree.

Fri. April 17

Last day to submit final corrected abstract and pdf of dissertation to the ProQuest website to fulfill degree requirements for a May 2015 degree and be eligible to participate in 2015 Doctoral Commencement.

Apr. 20 - May 1

Due to end of the academic year processing, the University Graduate Studies, 260 Wallis Hall will be closed to dissertation registrations. Defenses may occur during this period if the dissertation was registered in the Arts, Sciences & Engineering Graduate Studies Office, 218 Lattimore Hall by March 12, 2015.

Wed. Apr. 22

Plan A master’s students must submit 2 unbound final corrected thesis copies in the Graduate Studies Office.

 

All documents (exam reports, grade changes, etc.) must be submitted by this date (master’s Program of Study deadline was January 28, 2015).

Fri. May 15 Board of Trustees Meeting – degrees conferred.
Sat. May 16 University Doctoral Commencement
Sun. May 17 University Commencement Ceremonies – MA/MS degrees conferred.
