Q: Can I pick up my paycheck?

A: On-cycle departmental checks must be picked up by a departmental representative.  Individuals are not allowed to pick up their own on-cycle check from the Payroll Office. Off-Cycle checks can be picked up by the individual employee or the departmental requestor with appropriate identification at the Payroll Office.

 

Q:  How do I change where my check is sent?

A: Students– Paychecks are distributed to the primary (home) department seen in HRMS for all graduate student positions held.  For undergraduate student positions (those hired through Career Center-SEO) checks are delivered to their CMC box.

Faculty/Staff-Paychecks are distributed to the primary (home) department seen in HRMS for all faculty/Staff positions held.

 

Q: What is the LTD Credit I see in my paycheck?

A: The University pays for the first $36,000 in LTD coverage for full-time employees. The payroll system deducts the premium on your entire salary, and then pays you back in the form of the LTD Credit. The actual amount you pay for LTD coverage is the after-tax deduction minus the LTD Credit.

 

Q: What is the difference between on and off cycle checks?

A: On Cycle checks are checks processed within the normal payroll cycle.  Off Cycle checks are on demand checks processed when the normal payroll cycle was missed, or to process additional time not completed in time for the regular payroll cycle.

 

Q: Can I receive an advance to my pay or vacation time?

A: No, advances in salary and/or vacation time are not permitted.

 

Q: How do I calculate my overtime rate?

A: The University of Rochester processes overtime according to the FLSA (OT) rate calculated.  To calculate the FLSA rate you will need to know the hours worked and amount paid for each work week.  You can find additional information regarding the FLSA calculations at http://www.opm.gov/oca/pay/html/computeflsa.asp

 

FORMULA for FLSA RATE:

(Total hours worked x normal rate of pay) + other earnings) / Total hours worked = FLSA rate

 

FORMULA FOR OVERTIME PAY:

(# OT hours x FLSA rate) / 2) + (# OT hours x normal rate of pay) = OT pay

 

Example: Employee worked the overtime in week 2

Employee makes $16.00 per hour.  During week two, worked 40 regular hours, 8.45 hours of overtime, and had 48.45 hours Shift evenings @ .75= $36.34 shift night pay.

48.45 total hours worked (40 regular + 8.45 overtime) x $16.00 normal rate of pay = $775.20 plus $36.34 shift nights = $811.54 divided by 48.45 total hours worked = $16.75 FLSA RATE

8.45 hours of OT x $16.75 (FLSA rate) = $141.54 divided by 2 = $70.77 (this is the ‘half-pay’) plus straight time (8.45 hours of OT x $16.00 normal rate of pay) = $135.20.   OT PAY $70.77 + $135.20 = $205.97

 

Q: I recently left the University.  When do I receive my final pay check?

A: You will receive all hours worked (for non-exempt hourly paid) or payment to the last date worked (exempt) within the normal payroll cycle.  If eligible for a vacation (and PTO) payout, that payment will be processed within the pay period following your last date worked if your termination paperwork is submitted on time by your department to the HR Service Center.
