2021-22 Temporary Referral Bonus Program

This program applies to: Regular full-time and part-time faculty and staff as outlined in the eligibility section below.

The University is rolling out a temporary employee referral program from December 8, 2021 through March 31, 2022, in an effort to reinforce employee engagement and reward existing faculty or staff for referring individuals from their network to open staff positions within the University of Rochester.

Program Details 

  1. Full-time and part-time faculty or staff who refer candidates to staff positions who are then hired into a full-time or part-time staff position will be eligible to receive an incentive for up to three referrals while the program is running from December 8, 2021 to March 31, 2022. For positions in Nursing Practice, please refer to the applicable referral bonus programs administered in Nursing Practice.
  2. The name of the individual referring the applicant must be present on the original application submitted. Referral bonus applicant must match the person indicated on the original application to be considered eligible for the bonus.
  3. Upon confirmation of eligibility, a referring faculty or staff member will receive up to $5,000 paid over 18 months in six month increments for each employee referral that results in a hire, with a maximum of three employee referrals throughout the life of the program.
  4. Both the current faculty or staff member and the referred employee must be currently employed in a FT or PT position at the time of payout in order for the referring staff member to receive payment.
  5. Payments will be made over an 18-month period, for a total of up to $5,000 for each successful fulltime referral (see proration below for referrals in staff roles less than full time)

*All appropriate income taxes will apply to bonus payments and will be paid in the referring employee’s regular University paycheck which follows the date on which the applicable 6 month period is met.

Eligibility

  1. Full-time and Part-time faculty and staff (including Full-time and Part-time bargaining unit employees).
  2. Both the current faculty or staff member and the referred employee must be currently employed at the time of payment in order for the referring faculty or staff member to receive payment. If a referred employee or referring employee terminates at any time inside of the 18 months the referral bonus payments will end.
  3. The referred employee must have applied in the program window (December 8, 2021 – March 31, 2022).
  4. The referred employees’ original application must cite the name of the referring employee on the appropriate line in the application.
  5. Employees in pay grades 98 and above are not eligible for the bonus.
  6. Employees responsible for or with influence over the hiring of the referred employee are not eligible for the bonus. This includes, recruiters, leaders with general oversight for hiring in their areas, interviewing committee members, team interviewers or others providing feedback throughout the interview process.  Examples include instances where the referring employee:
    • is involved in the interview for the referred employee
    • is involved in resume or application review for the position
    • is asked for feedback related to the hiring decision
    • is part of facilitating the interview process (e.g. via shadow, coordination of dates and times, etc)
    • whose role puts them in a position to refer employees to the application process (e.g. HR Leaders who are contacts for job seekers)
    • is an Administrator in a department or school who is responsible for the general leadership of the department where the position is open
  1. Rehire referrals must have been separated for a minimum of three years.
  2. Active affiliate employees are not eligible for referral.
  3. Both the current faculty or staff member and the referred employee must be currently employed in a FT or PT position at the time of payout in order for the referring faculty or staff member to receive payment.
  4. Students and Post-doctoral Fellows are not eligible to participate.
  5. This program applies to referrals of external candidates only.  Openings that are filled with internal transfers or those already employed as a contractor or in any other capacity are not eligible for referral.

Procedure

  1. Human Resources will identify referrals via the original employment application.
  2. The bonus will be paid in the referring employees’ normal paycheck in accordance with the schedule above, and will be subject to applicable taxes.
  3. The Department of Human Resources will verify eligibility including verification of the name of the referring employee on the application.
