Getting Ready for myURHR: Time Tracking Features

When myURHR goes live in the fall of 2024, it will be comprised of two market-leading software systems: Workday and UKG (Ultimate Kronos Group). Below is a breakdown of the activities you will complete in each system and also a look at some time tracking features.

Workday and UKG features that myURHR encompasses.

How Will I Use Workday?

When myURHR launches next year, the majority of Human Resources-related actions will take place in Workday such as pay-related activities; personal information and benefit changes; recruitment activities; and job and compensation changes.

Many staff members are already familiar with the Workday name as the University has a suite of Workday platforms, including UR Finance, Procurement (P2P), and Student.

How Will I Use UKG?

In addition to Workday, myURHR will feature an integrated timekeeping application called UKG.

Beginning in the fall of 2024 when myURHR is functional, UKG is where University members can enter time worked, request time off, and view timecard information. This application will replace timekeeping functions in HRMS.

Managers and timekeepers will review and respond to their team’s time off requests and absences, and approve timecards in UKG. They will also be able to review data and run reports. Clinical units that are currently using the advanced scheduling component of UKG (Dimensions) will continue to do so.

New UKG Time Tracking Features

  • Employees
    • Access to data in an easy-to-read format.
    • New user experience with time clocks with opportunities to retire manual exception forms.
  • Managers/Timekeepers
    • Easier access to information.
    • UKG home screen will contain more data with the ability to make updates in fewer clicks.
    • Calendar views will allow for the comparing of time off requests to ensure adequate coverage within a department.
    • Visibility to real-time data such as clock punches or timecard exceptions.
  • UKG Advanced Scheduling Managers/Timekeepers
    Advanced Scheduling is only for those currently using UKG (Dimensions) Scheduling. Everyone else will continue to use their existing scheduling solution for now. 

    • Schedules and scheduling items (e.g. time off and transfers) will integrate with timecards for the appropriate pay period.
    • Timekeeping rules will be built into scheduling functionality, allowing schedulers the ability to monitor and manage overtime.

The University community will hear more about Workday and UKG over the coming months through regular updates and Demo Days being held in September and October.
