Save the Date: Open Enrollment 2024

Open Enrollment for 2024 University of Rochester benefits will be held Wednesday, November 1 – Wednesday, November 15, 2023. Be on the lookout for more information and materials coming soon.

Discontinuing the COVID-19 Vaccine Sick Day

With the elimination of the COVID Vaccine Mandate, effective immediately, the University will discontinue the COVID-19 vaccine sick day and use of the time code CVE in HRMS. Employees may use time from their PTO or sick bank if they are unable to work following a vaccine dose. While the University no longer requires COVID-19 vaccination, it is encouraged for students, faculty and staff. Employees can continue to receive up to four hours of paid time off to receive a COVID-19 vaccine without having to use their existing PTO, sick time, or vacation. Visit the University’s website for details on using sick time or more information on health and safety guidelines related to COVID-19.

Manager’s Tip

Getting Ready: New myURHR Online Resources

Does your team have questions about myURHR? Direct them to the myURHR web pages, where they can easily find answers, including a new glossary section that explains supervisory organizations, time-off accruals (PTO, vacation, sick time), and more. Managers, department coordinators (PAFers), timekeepers, and other roles will also want to check out key changes coming with myURHR, the University’s new Human Resources information system replacing HRMS in 2024.

Daylight Saving Time Ends

At 2:00 a.m. on Sunday, November 5, clocks will be moved back one hour to mark the end of daylight saving time. Hourly-paid staff who are on duty when daylight saving time goes into effect will work one more hour on their shift. For example, staff members who normally work eight-hour shifts will work and be paid for nine hours. The time clocks for HRMS and Kronos will automatically change and there is no manual effort required on the part of the employee or timekeeper.

Supervisors are encouraged to communicate this practice with employees who will be impacted by the time change. If you have any questions related to this topic or any other Human Resource issue, please contact your HR Business Partner.

Learning and Development

Deadline for Harassment and Discrimination Training

The deadline to complete the University’s annual training on how to identify and react to workplace harassment and discrimination is Wednesday, November 15. This training is an important component of our efforts to address the damaging effects of harassment and discrimination and is required by state and federal law. New York State’s Sexual Harassment Prevention training is available in MyPath and will take approximately 45 minutes to complete, while the additional required training on Title IX will take 30 minutes to complete. For more information and frequently asked questions about the training as well as additional opportunities for online and in-person training, visit the Office of Equity and Inclusion online.

IT Security Training

University IT has bolstered security policies due to the increased risk of cyberattacks with the primary objective of protecting institutional data while limiting risk and reducing costs. A one-time required training, “Information Security Policy Updates,” has been assigned to all faculty, staff, contractors, and student employees in MyPath. The training takes about 20 minutes to complete and is due on Friday, December 15. The training covers expectations, best practices, and responsibilities to secure personal and institutional information, prevent institutional data breaches, and ensure consistency throughout all parts of the University. To review these new policies, visit the IT website.
