NIH data management and sharing policy: December update

Dear colleagues,

It seems strange to already be thinking about the New Year – but January is right around the corner. And by the end of the month (Jan 25, 2023), the NIH Data Management and Sharing (DMS) policy will go into effect.

So I’m writing to share a few related updates.

First, with help from several collaborators, we’re putting together some sample DMS plans and a sample DMS plan budget justification than we plan to share with the UR research community.  We hope that these materials will help you as you develop your own plans and budgets.

Second, we are in the final stages of acquiring repository software for the entire institution that all researchers will have access to, in order to comply more easily with the NIH DMS policy. More precise information on cost, access, etc. will be coming in the next few weeks.

Third, we are developing a process for deidentification of data that contains Personal Health Information (PHI) and determining associated costs. More information on accessing that service and cost will also be forthcoming.

Fourth, after the New Year, we will host two webinars for the research community. I’ll be joined by representatives from the Office of Research & Project Administration, the Office for Human Subject Protection, the UR Libraries (including both the River Campus Libraries, and the Edward G. Miner Library) and the UR’s Clinical and Translational Sciences Institute (CTSI), to present and answer questions on the new policy. We’ll cover the following topics:

  • Broad overview of the new policy
  • How it will affect research
  • How to write and budget for a data management and sharing plan
  • Resources available at the institution to help you comply with your data management and sharing plan

To accommodate schedules, we are offering this webinar on two different dates. Content and speakers will be the same for both webinar sessions. I encourage you to register and add one of these sessions to your calendar:

NIH is also releasing updated materials to support the rollout of the DMS policy.  In the spirit of the holiday season, these include “12 Days of Data Management and Sharing Tips and Resources.” This incorporates several useful pieces, including a one-pager brief, a comparison chart between the 2003 data sharing policy and the 2023 DMS policy, and four sample DMS plans. Grab a hot chocolate or other holiday beverage and take a look!
