Checklist

It's time to get ready for Rochester! Before we welcome you to campus and your begin your first semester, there are some tasks that you need to complete.

Add dates to your own calendar: Subscribe to our Fall 2024 New Student Checklist calendar to add the dates and deadlines below to your account with any major calendar service, including Google, Apple, Office 365, Outlook, and Yahoo.

Exchange students

You've got your own checklist! Make sure to review our page especially for exchange students, which includes required tasks, travel and arrival information, and details on a Welcome Week event just for you.

Enrollment tasks

First things, first! Before completing any of the tasks on this checklist, set up your accounts and update your family's contact information.

Activate your student account

About two business days after you make your enrollment deposit, you will receive an email requesting that you activate your NetID and enroll in Duo.

  • NetID: your unique personal identifier for securely accessing a variety of online services, including your Rochester email address, UR Student, Blackboard, and the Virtual Private Network (VPN)
  • Duo: the University's two-factor authentication tool to protect your and the University's data
Instructions
  1. Navigate to the University Account Initialization page (link below).
  2. Enter your eight-digit University ID number (included in the email you received from Admissions), the CAPTCHA, and your date of birth.
  3. Tap Continue.
  4. Follow the directions to create your NetID password. You will also be asked to set up password recovery questions in case you forget your password, as well as connect your phone number or mobile device to your account to enable Duo two-factor authentication.

Initialize your account

Complete your account onboarding tasks

After activating your NetID and enrolling in Duo, you'll need to complete your onboarding tasks in UR Student, the University's student information system. UR Student is where you will register for your courses, manage your student financial account, and update your personal information.

Instructions

Navigate to UR Student (link below) and follow the prompts to:

  1. Enable the WalkMe browser extension. This tool provides helpful guidance on key tasks within the UR Student system on your desktop or laptop, including tips during course registration.
  2. Review your home contact information and update your address(es) and/or phone number(s) as needed.
  3. Review your friend and family contacts listed and make any necessary updates, including their contact information. Make sure to have at least one contact labeled as your emergency contact.
  4. Review your settings for AlertUR, the University's emergency notification system. As a new student, you are automatically enrolled in AlertUR with your Rochester email address. However, if you would like to receive alerts on your phone as well, make sure to update those settings during this step.
  5. Review the Student Financial Responsibility Agreement and note that you consent to the agreement with your electronic signature.
  6. Consent to receive your IRS Form 1098-T electronically. This is a tax form that the University generates each year for you, if you have qualifying financial activity on your student account.

Access your UR email account

As a student, you will be provided with a Gmail account to use during your time at Rochester (and beyond!). The format of your student email address is: netID@u.rochester.edu. Your email account is set up for you automatically—all you need to do is navigate to the login page and enter your NetID and password to access your account.

Add your parent/guardian(s)’ email address(es) to UR Student

If you didn't update your parent and guardian's contact information when completing your onboarding tasks in UR Student (see Activate your student account and complete your onboarding tasks above), make sure to verify that all the information is correct. The University will be using the contact information provided in your UR Student account to send your parent(s) or guardian(s) important communications ahead of your arrival to campus.

Due June 15: Complete the Parents Program Information Form

This required form enables the Office of Alumni Relations and Constituent Engagement and the Parents Program to send them information on upcoming family events, including this summer's Welcome Celebrations.

  1. Log into your MyROC account.
  2. Click the Parents Program Information Form listed under Required Forms for Enrolling Students on your dashboard.
  3. Complete all applicable sections of the form. You may need your parent or guardian to help in completing the parent/guardian information section(s).
  4. Submit the form.

Due June 14: Complete the Academic Interest(s) Form

Use the New Student Academic Guide to help you complete the Academic Interests Form, which helps the advising team learn more about your and your interests as you begin your academic journey at the University of Rochester. Due June 28: Watch your academic advising and course registration resource video

Leadership from the College Center for Advising Services describe the new student advising and registration process in two separate videos—one for incoming first-year students and one for incoming transfer students. Whether you are still exploring and considering various majors or you know exactly what you want to study, these videos are a helpful guide to choosing courses for your first semester at Rochester. Due June 30: Submit your final transcript

You'll need to submit a final transcript from your previous institution (high school for first-year students and a college or university for transfer students) before you begin your studies at Rochester. On July 8: Academic advisors begin reaching out

After the Independence Day (July 4) holiday, your academic advisor(s) will reach out to you directly at your University of Rochester email address to begin discussing your academic plans and fall semester course options.

Please avoid contacting your advisor(s) prior to this communication, as the advising team continues to support current University of Rochester students in the spring and early summer.

Due July 15: Submit your AP and/or IB exam scores

The College allows you to use Advanced Placement (AP) and International Baccalaureate (IB) Program examination scores for placement in more advanced courses in a subject area. Use the button below to view instructions for submitting these exam scores on the New Student Academic Guide website.

Due August 1: Connect with your academic advisor(s)

Your academic advisor(s) will email you directly at your University of Rochester email address to begin your advising discussion. Depending on who your academic advisor(s) are, they may request that you set up a virtual face-to-face meeting, or they may communicate with you back and forth through email.

Once you have connected with your academic advisor(s) to discuss your academic goals, first semester course options, course placement, and transfer credit, you can begin taking placement examinations and seeking approvals for coursework that you would like to be transferred to the University. Beginning at 9 a.m. (EDT) on your registration day (noted above), you'll be able to log into UR Student, the University's student information system, to register for your fall semester courses. Financial tasks

View and pay your tuition bill and learn how to set up your finances while you are studying at Rochester. Visit the Finances page to view billing and payment FAQ, financial resources, and campus banking services.

On July 18: View your fall 2024 tuition bill

You will be billed each semester and charges are due on the tenth of the month unless otherwise specified. Your first tuition bill will be posted on Thursday, July 18. You (and your authorized family or friends) will receive an email notification to view your bill in your UR Student account before it is due.

Due August 10: Pay your fall 2024 tuition bill

You will be billed each semester and charges are due on the tenth of the month unless otherwise specified. Your first tuition bill will be due on Saturday, August 10. You (and your authorized family or friends) will receive an email notification to view your bill in your UR Student account before it is due.

Health and wellbeing tasks

Submit your required health forms and complete the online health insurance process.

Due July 10: Complete the online health insurance process

Every year you are enrolled at the University, you must document your health insurance coverage during the appropriate open enrollment period by either enrolling in the UR Student Health Insurance Plan or waiving the plan if you are already enrolled in a qualifying healthcare plan. You will need to complete this process between Saturday, June 15 and Sunday, September 15, 2024 using the button below.

Please note: If you are planning to waive the UR Student Health Insurance Plan because you are already enrolled in a qualifying healthcare plan, we encourage you to complete this process by Wednesday, July 10, 2024 to avoid having the health insurance plan fee added to your tuition bill. If you do not waive the plan prior to this date, the fee will show on your spring tuition billing statement until you complete the waiver process.

Due July 31: Watch the health and wellbeing on campus resource video

Managing your health and wellbeing can be challenging in college, whether this is you are living away from home for the first time or you're transferring in from another school. In this video, staff from the University Health Service Primary Care team, University Counseling Center, and Health Promotion Office share the resources and support available to you as a student, including services to help maintain your physical, mental, and emotional health throughout your time at Rochester. Due July 31: Register for UHSConnect and complete your required health forms

UHSConnect is a secure web portal that gives you easy access to your University health records and allows you to securely message your healthcare team at the University Health Service and University Counseling Center. It's also where you'll need to complete the Health History & Immunization Form and Allergy & Medication Form as part of the University's health requirements for all full-time students.

Please note: If you submit these required health forms after the deadline above, you may be subject to a $50 USD late fee, applied directly to your tuition account.

Instructions
  1. Navigate to UHSConnect.
  2. Click Register.
  3. Enter your personal information and create a security question and answer as prompted.
    1. In the field for UHSConnect ID, enter your eight-digit University ID number (different from your NetID).
    2. In the field for email address, enter your Rochester email address (netid@u.rochester.edu) in all lowercase characters.
    3. The security question answer must be at least 6 characters long.
  4. An email containing a link to set your password and set up your account will be emailed to your Rochester email address. The link in the email is valid for 20 minutes upon receipt.
  5. Click the link in the email and enter the answer to your security question.
  6. Set your account password.
  7. Once successfully created, a Password Confirmation Successful message will be displayed.
  8. Click on the prompt to log into your UHSConnect account.
  9. Select My Forms.
    1. If you have not yet completed the required forms, you will see a prompt to fill them out on your UHSConnect home screen.
  10. Click on Health History and Immunization Form or Allergy and Medication Form to begin entering your information on each of the required forms.
    1. You can save your progress on each form for later. You should only submit the form once you have filled out all of the required fields.
    2. Make sure to upload any required attachments before submitting your form.
  11. Click Submit at the end of each form to send your completed documents to the University Health Service for processing.

Housing, dining, and parking tasks

Get ready to make the River Campus your home away from home.

Due June 1: Apply for housing accommodations (if needed)

If you need to apply for housing accommodations due to a disability, you will need to complete the following steps by the date listed above.

  1. Navigate to the Office of Disability Resources' website to find instructions for requesting residential accommodations.
  2. If you would like to request a housing accommodation, follow the link listed under Complete an Application to fill out a request form.
    1. Please note: you must have a housing application and/or contract on file with the Office of Residential Life and Housing Services in order to request accommodations.
  3. If you would like to submit documentation of a disability, but are not requesting accommodations at this time, follow the instructions for submission listed under To Request Disability Accommodations.

Due June 3: Submit your housing and dining contract form

This form is required for all new students (including those living in off-campus housing, as you will need to make your required dining meal plan selections).

Please note: on-campus housing is not guaranteed for incoming transfer students. If you are an incoming transfer student and you are interested in living on-campus, please submit your form as soon as possible. Learn more about housing for transfer students on Residential Life's website.

Due June 28: Submit your campus ID photo

Your University of Rochester campus ID card is not just your official student identification! It also offers you access to your on-campus residence hall (and other campus buildings) and links to your online accounts at a variety of different campus locations including libraries, dining centers, the bookstore, laundries, copiers, and vending machines.

In order to have your campus ID card available for pickup on your assigned arrival day, you will need to upload a photo of yourself to be printed on your card by the date listed above. If you do not submit a photo, you will need to visit the ID Office on your assigned arrival day to have your photo taken and your ID card printed on-site.

Please note: not uploading a photo by the deadline above may result in long wait times at the ID Office on your assigned arrival day.

Instructions
  1. Log into your Blackboard account.
  2. Expand the sidebar navigation menu and select Organizations.
  3. Find and select Rochester Ready: Fall 2024 in the list.
  4. Select Campus ID Photo Submission.
  5. Read through all of the guidelines to make sure the photo you upload will be acceptable for printing.
  6. Click the underlined Submit Your Campus ID Photo title underneath the guidelines.
  7. Under Assignment Submission, use the Browse Local Files button to select the image file you would like to upload from your device.
  8. Verify that the file name listed under Attached Files matches the file you wish to upload.
  9. Click the Submit button at the bottom of the page to upload your photo.

On July 1: View your housing assignment

Your on-campus housing assignment and information on your assigned roommate(s) will be sent to your University of Rochester email address on Monday, July 1, directly from Residential Life.

The email will contain a link to instructions to sign up for a specific move-in time slot on the Fall Arrival Days. Move-in time slots are first-come, first-served, so make sure to sign up as soon as you receive your email!

Due August 1: Sign up for a move-in time slot

If you are living on campus, you are required to sign up for a move-in time slot on one of the Fall Arrival Days by the deadline listed above. Use the button below to view instructions for completing sign-up in the StarRez portal. You can also find this link in your housing assignment email, sent to all incoming residential students directly from Residential Life and Housing Services.

By August 10: Apply for a parking permit (if eligible)
Residential transfer students

If you are a sophomore, junior, or senior transfer student living in on-campus housing, you are eligible for a residential student parking permit. The fee is $500 for the 2024-25 academic year. View the residential student parking lots in purple and lime green on the River Campus parking map.

Please contact the Department of Transportation and Parking Management directly after receiving your housing assignment to request a residential student parking permit.

Commuter students

If you are a first-year student living at home in the Rochester area or a transfer student living off-campus, you are eligible to purchase a commuter student parking permit. The fee is $301 for the 2024-25 academic year. View the commuter student parking lots in polka-dot purple and lime green on the River Campus parking map.

Commuter student parking permits are awarded through a lottery. In order to enter the lottery, you must add your name to the wait list, which will open on Friday, August 2 at 10 a.m. (EDT) and close Saturday, August 10 at 10 a.m. (EDT). Here's how to add your name to the wait list:

  1. Navigate to My Parking Online and tap the Active Directory Login button.
  2. Use your Active Directory (AD) credentials to log in.
  3. Tap the Add/Edit Waitlists button. Tap the Next button.
  4. Select your preferred lot.
  5. In order of preference, enter your remaining lot choices.
  6. Tap the Done button when finished entering your choices.

Log into My Parking Online

You will receive an email by Monday, August 12 if you've been awarded a permit. You must log in to My Parking Online and purchase your permit by the expiration date on your award letter. You can pick up your permit 2-3 business days after purchasing it at the Transportation and Parking Management Center. If you miss the window to sign up for the wait list, you can still request a commuter student parking permit by contacting the Department of Transportation and Parking Management directly.

On August 12: Begin mailing packages to campus

You can begin having packages delivered to the University on the date listed above. To send a package to campus ahead of your arrival, simply put your name above the University's mailing address to ensure that the Campus Mail Center can correctly identify your package:

By July 8: Order your custom incoming student gift

Show off your Rochester pride with a customized wearable item, exclusive to incoming students this fall. Follow the instructions below to create an account on the student gift website and order your item to pick up during Welcome Week check-in in August.

Please note: You must submit your form by Monday, July 8 at 7 a.m. (EDT) to guarantee item availability and personalization. Additional non-personalized items will be available to pick up at Welcome Week check-in on a first-come, first-served basis for those who do not complete the order form by the deadline.

Instructions
  1. Navigate to the custom incoming student gift website (now closed).
  2. Tap Sign In in the top right-hand corner.
  3. Register for an account by providing your name, UR email address, and the password of your choice. Then, tap the Register button.
  4. Tap Incoming Student Gift in the top navigation menu.
  5. Tap the View button to go to the order form. 
  6. Review the sizing chart before completing the form with your preferred item size and your last/family name. The item quantity should remain as one.
  7. Tap the Add to Cart button when complete.
  8. Review the shopping cart page to make sure your size and last/family name are correct before tapping the Proceed to Checkout button.
  9. On the checkout page, the shipping information will already be filled in for you, as this item will ship to the Unviersity for you to pick up in-person at Welcome Week check-in in August. Tap the Continue button on the bottom of this page.
  10. To finalize your order, fill in your first name, last name, and UR email address. Then, tap the Complete Order button. You should receive a confirmation email to your UR email address shortly after completing this page.
Due August 5: Register for Fall Welcome Week

Registration for Welcome Week is required for all incoming students and any family members/guests planning to attend. If you are arriving to campus from a location outside of the U.S., you'll also be able to indicate your interest in purchasing a dorm pack on this form. Use the button below to complete the registration form to help us best prepare for your arrival to campus and plan activities for you and your family to enjoy.

The Welcome Week app is your go-to resource for the full schedule of events and activities once you arrive to campus in August. The app also includes arrival day instructions and campus resources, so we encourage you to download and review it before you begin your journey to Rochester.

Additional tasks for international students

If you are an incoming international student (including those who have previously studied in the U.S.), there are a few additional tasks you'll need to complete before arriving on campus.

Upon enrollment: Request your required immigration documentation

The International Services Office (ISO) will help you navigate the process of becoming an F-1 or J-1 student. After you make your enrollment deposit, you will receive an email from admitquestions@iso.rochester.edu with instructions for completing your New Student Intake Form (NSIF). Your NSIF needs to be completed as soon as possible in order for ISO to review your eligibility and needs for immigration sponsorship. By August 15: Review immigration and arrival information

The International Services Office's Incoming Students page contains important information to help you navigate your arrival to the U.S. as a new University of Rochester student. You are required to review this page and complete all required steps before arriving to campus.

On August 15: Attend mandatory immigration compliance webinar

All international students (including those who have previously studied at another U.S. institution) are required to attend this webinar on Thursday, August 15 from 9-10 a.m. (EDT). Hosted by the International Services Office, the webinar will provide information about how to stay in compliance with your visa regulations while studying and working in the U.S. Make sure to register ahead of time to receive the Zoom webinar link.

Additional tasks for commuter students

If you're a first-year student living with family in Rochester or an incoming sophomore, junior, or senior transfer student living off-campus, there are a few additional tasks you may need to complete.

By June 1: Submit a residency requirement petition (if eligible)

All incoming first-year students are required to live on campus for both their first and sophomore years. If you are planning to live at home with family in the Rochester area and commute to campus, you must indicate so on your housing and dining contract form by the date listed above.
